Control of the use of each document to avoid duplications

The existence of document templates speeds up the cataloguing and customisation of each type of content. The templates determine the basic data of the document, together with the association with other templates that make up the screen view or the method of printing. The fields of each template may be defined by each client to facilitate their cataloguing.

Using these templates means that in order to carry out their work documentalists only have to search the files that have yet to be catalogued, fill in the details relating to these documents and subsequently save the changes, automatically updating the changes on the database.

Contents that are being corrected or pending cataloguing are blocked so as to avoid duplications in the correction process, although it is still possible to view and consult them.

A complete Thesaurus is available to organise terms and eliminate ambiguities. This Thesaurus includes hierarchical relations from the most general to the most specific, situating each term in a precise context and making it possible to retrieve documents from wide terms to those that are more specific. Synonymous or equivalent relations are also established that are totally invisible for the user. In this way indexing is homogenised, enabling more effective retrieval in the search.
